Client Data Privacy Policy
Great Plains Code LLC ("we") is an Oklahoma technology consultancy that builds and maintains databases, web services, and integrations for real estate professionals and small businesses. This policy describes how we handle data in that work.
Data We Handle
In the course of our engagements, we handle information our clients provide us (credentials, configuration, sample data), data stored in systems we build and maintain for them, and data flowing through third-party integrations we build on their behalf. We have administrative access to the systems we maintain and the technical ability to access data within them. We access that data only as needed to perform our work or at the client's direction.
How We Use It
We use client data solely to perform the work we've been engaged to do — building, deploying, maintaining, and supporting systems and integrations. We do not use client data for our own purposes (marketing, case studies, AI/ML training, or improving other clients' systems) without the client's explicit written consent, and in no case in a manner prohibited by applicable third-party platform terms.
How We Share It
We do not sell client data. We share it only with:
- Google Cloud Platform, which hosts the databases and web services we build and maintain.
- Legal authorities, where required by law.
- Third-party platforms the client has authorized us to integrate with, as described below.
Third-Party Integrations
Dotloop Integration
We integrate with Dotloop's API to help clients reduce manual data entry and track transaction status. Our use of the Dotloop API is governed by the Dotloop API Terms of Use.
- We push client and transaction data that the client originates and maintains in their own systems into Dotloop to create and update loops.
- We retrieve transaction metadata from Dotloop (loop status, document completion, close dates, participant roles) so clients can track transactions from their own systems. We do not extract client contact information from Dotloop.
- We do not use Dotloop Data for marketing, list-building, customer engagement campaigns, telemarketing, research, product development, or any form of artificial intelligence or machine learning.
- We do not share Dotloop Data with any third party other than the Dotloop Subscriber and their clients to whom the data relates.
- We do not retain Dotloop Data beyond what is necessary to operate the integration, consistent with Dotloop's API Terms of Use.
Downstream Data Policies
At a client's direction and with their consent, we may push data the client originates and maintains in their own systems to other platforms they use in their business. We will only do so in a manner consistent with the terms of use of any other upstream integrations we maintain for the client.
Clients are responsible for reviewing and assessing the terms of service, privacy policies, and data handling practices of any downstream platform they direct us to push data to. We are not responsible or liable for the acts, omissions, security practices, or data handling of third-party platforms operated by others.
Retention and Security
We retain client data only for as long as needed to perform our work, comply with law, or as specifically agreed. When an engagement ends, we revoke access, delete credentials, and delete local copies of client data, except where retention is legally required. We use reasonable administrative and technical safeguards, including transport encryption and the platform-level protections provided by our cloud infrastructure. No system is completely secure.
